Welcome to Safety Square
This guide walks you through your first session with Safety Square,from login to your first completed shift. By the end, you'll understand the core workflow and be ready to use Safety Square on your job sites.
What You'll Need
- Safety Square account (provided by your administrator)
- Tablet or computer with camera
- Internet connection (WiFi or cellular)
Step 1: Log In (2 minutes)
- Navigate to your Safety Square URL
- Enter your email and password
- Click "Log In"
You'll arrive at the Home Screen showing:
- Your company name
- Project dropdown (may be empty initially)
- Language toggle (EN/ES)
- Manager Mode button
Step 2: Create Your First Project (10 minutes)
Before crews can start work, you need a Mother JSA. This is the safety baseline for your project.
Enter Manager Mode
- Click "Safety / Project Manager" button
- Your camera will activate
- Take a selfie to confirm identity
- You're now in Manager Mode
Create the Mother JSA
- Click "Project Setup" tab
- Section 00 auto-captures your identity
Section 01: Project Identity
- Client name (who you're working for)
- Site name (physical location)
- Project name (what the work is)
- Work type (General, Electrical, Welding, Industrial Cleaning)
- Start/end dates (optional)
Section 02: Emergency Information
- Emergency phone (required)
- Primary muster point
- Secondary muster point
- Medical station location
Section 03: Known Site Hazards
- Add 5-7 site-specific hazards
- These appear in all briefings
- Examples: "Overhead crane operations in Unit 4", "H2S present in tank farm"
Section 04: Site Safety Rules
- Mandatory PPE (hard hat, safety glasses, etc.)
- Zero tolerance rules (no phones in operating areas)
- Site-specific rules
- Access restrictions
Section 05: Site Communication
- Emergency radio channel
- Control room contact
- Security contact
- Permit office contact
Section 06: Environmental Notes (optional)
- Weather sensitivities
- Shift patterns
- High activity windows
Click "Approve Project" to make it available for crews.
Step 3: Start a Shift (5 minutes)
Exit Manager Mode and return to the Home Screen.
- Select Project - Your new project appears in the dropdown. Select it.
- Start Shift - Click "Start Shift" button
- Task Selection - Choose "Start New Task" and enter task name (e.g., "Install piping in Unit 3")
- Communication Setup
- Unit: Where on site
- Area: Specific location
- Task: Brief description
- Radio Channel: Select from list
- Lead: Your name and phone
- Backup: Backup contact (optional)
- Enter Square Dashboard - You're now on the main crew interface with 9 action buttons.
Step 4: Add Your First Job Step (5 minutes)
- Click "Add Job Step" (blue plus button)
- Describe the step - Type or use voice input: "Remove bolts from flange connection"
- Select hazards
- Browse hazards by category
- Select all that apply
- Example: "Pinch points", "Hand/tool injuries"
- Select controls
- Browse controls by category
- Select all that apply
- Example: "Wear cut-resistant gloves", "Use proper hand placement"
- Select permit type - None (for this example). Options: Confined Space, Hot Work, LOTO, Fall Protection, Excavation
- Guardian AI Analysis
- Guardian reviews your step
- May suggest additional hazards or controls
- Accept or dismiss suggestions
- Save Job Step - Step added to session, version increments to 1.1
Step 5: Check In Crew and Brief (5 minutes)
- Crew Check-In
- Click "Crew Check-In" button
- Enter crew member name
- Select language preference (EN/ES)
- Crew member appears with "New" badge
- Team Briefing
- Click "Team Briefing" button
- Select briefing mode (Group or Individual)
- Select language (English, Spanish, or Both)
- Face-Gated Briefing
- Camera monitors face presence
- Audio pauses if face not detected
- Checkpoints require acknowledgment
- Photo captured on completion
- Briefing Complete - Crew member badge changes to "Current", they're briefed on version 1.1
Step 6: Sign Off Shift (3 minutes)
When work is complete for the day:
- Click "Shift Sign-Off" button
- Verification Checklist
- All crew accounted for & left site ✓
- Work area secured & waste removed ✓
- All permits returned or extended ✓
- All tools & equipment accounted for ✓
- Photo Verification - Take photo of secured work area
- Complete Sign-Off - Shift ends, session status changes to "signed_off", return to Home Screen
