Field Tablet User Manual

Complete Guide to the Square Dashboard

Overview

The Field Tablet interface (/square) is where crews execute shifts. This manual covers every feature in detail.


1. Home Screen

The home screen provides two paths:

Manager Path

  • Click "Safety / Project Manager"
  • Selfie capture required
  • Access Manager Console (setup, manage, operations)

Crew Path

  • Select project from dropdown
  • Click "Start Shift"
  • Proceed to Task Selection

Language Toggle

  • Click "EN" or "ES" to switch interface language
  • Persists across sessions

2. Task Selection

Choose how to begin:

Start New Task

  • Creates fresh session
  • Enter new task name
  • New job step list

Continue Existing Task

  • Resume from previous shift
  • Existing job steps preserved
  • Version history maintained

3. Communication Setup

Configure shift communications:

4. Square Dashboard (9 Actions)

The main interface presents 9 action buttons:

Row 1

  • Condition Change - Log environmental changes
  • Add Job Step - Add work steps with Guardian AI
  • Crew Check-In - Add/manage crew members

Row 2

  • Team Briefing - Run face-gated briefings
  • Messages - View/acknowledge broadcasts
  • Report Incident - Log safety events

Row 3

  • FYI Notes - Notes for next shift
  • Full JSA Scope - View all job steps
  • Shift Sign-Off - End shift safely

Additional Access

  • Safety Logs Hub - Fire Watch, Atmospheric, Bottle Watch

Status Bar

  • Work state indicator (Active/Paused/Incident)
  • Sync status
  • Crew count

5. Condition Change

Log changes to site/environmental conditions:

  • Description: Text input or voice - describe what changed
  • Weather Selection: Clear, Rain, Wind, Cold, Lightning (triggers warning)

Important: Condition changes are included in next briefing but do NOT trigger re-briefing. They're informational, not scope changes.


6. Add Job Step (Guardian AI)

The core safety feature:

  1. Description: Type or speak the job step. Be specific: "Remove 6-inch flange bolts on V-101"
  2. Hazard Selection: Browse by category, work-type-specific options appear first
  3. Control Selection: Browse by category, match controls to hazards
  4. Permit Type: None, Confined Space, Hot Work, LOTO, Fall Protection, Excavation
  5. Guardian AI Analysis: Reviews your step and may identify Safety Flags, Missing Hazards, and Suggested Controls

On Save:

  • Step added to session.jobSteps[]
  • Step added to mother.changeLog[]
  • Version increments (1.0 → 1.1)
  • All crew marked "outdated"
  • Re-briefing required

7. Crew Check-In

Manage crew members:

  • Add New: Enter full name, select language preference (EN/ES), worker added with "New" badge
  • Status Badges:
    • New - Never briefed, needs full briefing
    • Outdated - Briefed on old version, needs delta
    • Current - Briefed on current version
  • Search: Search existing crew by name

8. Team Briefing

Run face-gated safety briefings:

  • Briefing Modes: Group (all crew together) or Individual (one at a time)
  • Language Options: English only, Spanish only, or Bilingual (both)
  • Face-Gating: Camera detects face presence, audio pauses if face not detected
  • Checkpoints: Key points require "I understand" confirmation
  • Completion: Photo captured, version recorded, status updated
  • Re-Briefing: After new job steps, delta briefing covers only new content

9. Messages

View and acknowledge broadcasts:

10. Report Incident

Document safety events:

  1. Event Type: Near Miss, Injury, Property Damage, Environmental
  2. Severity: Low, Medium, High, Critical
  3. Description: Text or voice input, be specific and factual
  4. Photo: Required for documentation

On Save: Incident logged immediately, dashboard alerted, task state changes to "Incident"


11. FYI Notes (Shift Notes)

Leave information for the next shift:

  • Equipment issues
  • Incomplete work
  • Safety concerns
  • Helpful information

12. Full JSA Scope

View complete job step list with hazards, controls, and permit types for each.


13. Shift Sign-Off

Checklist verification plus photo of secured work area required for completion.


14. Safety Logs Hub

Access specialized monitoring modules:

  • Fire Watch Module
  • Atmospheric Monitoring Module
  • Bottle Watch Module

15. Pause/Resume Work

Work States:

  • Active - Work in progress
  • Paused - Temporarily stopped (reason required)
  • Incident - Safety event occurred

16. Manager Console

Accessed via selfie capture from Home Screen:

  • Tab 1: Project Setup - Create new Mother JSAs
  • Tab 2: Project Management - View, edit, archive projects
  • Tab 3: Project Operations - Monitor sessions, send broadcasts
